Privacy Policy
Effective 19 October 2026. Your logbook stays on your phone or in your own cloud. We don’t receive it.
This Privacy Policy explains how the everyPilot app handles information, and how Eyinsan Odugba (“we”, “us”, “our”) handles the little information we do receive. It applies to the app and to messages you send us.
In short
- Your logbook is stored on your device. We have no servers, no user accounts and no access to your logbook.
- If you turn on sync, your logbook goes to your own cloud account (iCloud, Google Drive, Dropbox, OneDrive or your WebDAV server), not to us.
- If you turn on AI reading, the page photos and questions you choose to send go directly from your device to the AI provider you picked, using your own key — and only after you give permission.
- No advertising, no tracking across apps or websites, no selling or sharing of personal information, no profiling.
- We receive information only if you email us, and we use it only to answer you.
Who is responsible
Eyinsan Odugba publishes everyPilot. Our address is PO Box 56001, Atlanta, GA 30343, United States. For anything about privacy, email everyai007@gmail.com, or write to us at the address above. For the information we receive (such as your emails), we are the “controller” under the GDPR and UK GDPR. For the logbook on your device, you decide what is recorded and why; we do not receive it or decide how it is used.
Everything you record in everyPilot stays in the app’s storage on your device, protected by your device’s security. This can include: your flights, duty periods, aircraft and airports; your name, licence and certificate details, ratings and medical dates; names, roles and certificate numbers of crew, instructors and students you record; signatures drawn in the app; photos or scans of paper logbook pages and documents you add; rosters you import; GPS tracks from the flight recorder; reminders and your settings. Your phone’s own backup (for example iCloud Backup or Android backup), if you use it, may include this data under your own account.
Once a day, when you open it, the app saves a backup copy on your device and keeps the most recent ones. You can export your data (CSV, PDF, backup file) at any time, and you can erase everything the app stores on the device in Me › Privacy & legal › Erase everything on this phone.
Permissions the app asks for
- Location: only while you run the GPS flight recorder, to log block, take-off and landing times and your route — including in the background while it records, with the system’s location indicator showing. Location is processed on your device and is never sent to us.
- Camera and photos: to photograph or pick logbook pages, ACARS screens and documents, and to scan crew-share and signing QR codes. Only the images you choose are used.
- Notifications: for reminders you set up (expiries, currency, report times). They are scheduled on your device.
- Network status: to hold syncing until Wi-Fi if you ask it to.
- Age range (iPhone): where a US state’s app-store law applies, the app asks Apple to share your age range (for example “18 or over”, never your birthday) through Apple’s Declared Age Range feature. You, or your parent or guardian, decide whether to share it. The app uses it only to check the minimum age in our Terms and to follow those laws. It stays on your device and is never sent to us.
- Cloud sync and backups: if you connect iCloud, Google Drive, Dropbox, Microsoft OneDrive or a WebDAV server, your logbook — with the photos and scanned documents you add, unless you turn photo sync off in Cloud & sync — is copied to your own account with that provider, which handles it under its privacy policy. Sign-in tokens are kept in your device’s secure keychain. On Google Drive, everyPilot uses a private app folder and cannot see your other files. WebDAV passwords are only sent over https (except to your own local network).
- AI reading (optional): if you set it up and give permission, the photo or scan of a logbook page you choose, or a question you type in Ask your logbook (with the names of the logbook’s fields and your aircraft types, tail numbers and custom-field choices — never your flights), is sent directly to the provider you picked — Google (Gemini), Anthropic (Claude) or OpenAI — using your own API key. Page images can contain names, certificate numbers and signatures. The provider handles them under your agreement with it and its privacy policy, which may allow it to keep the data for a time (for example for abuse monitoring) and, on some free plans, to use it to improve its services; check your provider’s terms. We never receive these images or questions. You can withdraw permission at any time by turning off AI reading.
- On-device text reading: when you photograph or pick a logbook page, everyPilot reads its printed headings and text on your device with Google ML Kit, a software library from Google (on Android, ML Kit also reads QR codes you scan). ML Kit sends Google technical information about its own use — device model and operating system, app name and version, a per-installation identifier, and performance and error data — which Google uses for diagnostics and to maintain and improve ML Kit. It does not send the image or the text it reads.
- Rosters and calendars: if you subscribe to a roster calendar address, the app downloads it from the address you enter.
- Aircraft photos from Planespotters.net: if you tap “Photo of this aircraft” on an aircraft’s page, that aircraft’s registration (tail number) is sent to Planespotters.net to look up a public photo of it, and your device loads that photo directly from Planespotters, which sees your IP address as any website would. Nothing else from your logbook is sent. Their answer is kept on your device for no more than 24 hours, and the photo is shown only while it is on screen and never saved. Your own photos of your aircraft stay in everyPilot and your own cloud.
- Map of your flights (iPhone): when you open it, the map pictures come from Apple Maps, so Apple receives the map area on screen, as with any map. The airports and routes are drawn on your device; your logbook is not sent. Other maps in everyPilot are drawn on the device.
- Sharing and exports: files you share — CSV, PDF, backups, crew-share codes, signing requests — go only where you send them, using your device’s share options.
- Purchases: Apple or Google processes purchases and tips under its privacy policy. We don’t receive your payment details. The stores give us sales and payout reports, and — if you allow it in your device settings — aggregated, de-identified app statistics and crash reports.
- Community board: the community board is a public GitHub page. If you post there, GitHub handles your information under its privacy policy and your post is public.
If you email us (for example from “Email the developer” or “Send a sample”), we receive your email address, your message and anything you attach, plus the app version and the device type and operating-system version the app adds to the message. We use this only to reply to you, fix problems and improve the app, based on our legitimate interest in supporting our users (or, where you ask us for something, to provide it). We keep these emails for up to 2 years after the conversation ends, unless we need them longer to resolve a dispute or meet a legal duty, and our email provider stores them for us. Please don’t send logbook data or certificate numbers unless we need them to help you.
What we don’t do
- We don’t sell or rent personal information, and we don’t share it for advertising (“cross-context behavioural advertising”).
- We don’t use advertising identifiers or tracking, we haven’t added any advertising or analytics service of our own (the only library that reports usage to its maker is Google ML Kit, described above), and we don’t build profiles or make automated decisions about you.
- Because nothing tracks you, the app treats “Do Not Track” and Global Privacy Control signals as already satisfied.
Children
everyPilot is made for pilots and student pilots. It is not directed to children under 13, and we do not knowingly receive personal information from them. If you believe a child has sent us personal information, contact us and we will delete it. Young student pilots should use the app with a parent’s or guardian’s agreement; most AI providers require users to be 18 or older.
International transfers
We are based in the United States, and our email provider may process messages in the United States and other countries. Where the law requires, we rely on appropriate safeguards for these transfers, such as the provider’s standard contractual clauses or adequacy arrangements.
Security
Your logbook is protected by your device’s security and, when synced, by your cloud provider’s. Secrets such as sign-in tokens and AI keys are kept in the device’s secure keychain; they are never synced and never included in everyPilot’s backup files. Connections to cloud and AI providers use encryption in transit. No method of storage or transmission is completely secure; please protect your device with a passcode and keep backups.
Your rights
Most of your information never reaches us, so you control it directly in the app: you can see, correct, export and erase it at any time. For information we hold (such as your emails), you can ask us for access, correction, deletion, restriction, a copy to take elsewhere, or object to how we use it, and you can withdraw consent where we rely on it. You can also complain to your local data protection authority (in the UK, the ICO; in the EU, the authority in your country) — but please contact us first so we can help. Residents of California and other US states have similar rights under state law; we do not sell or share personal information as those laws define it. We will not discriminate against you for using your rights.
To use any right, email everyai007@gmail.com, or write to Eyinsan Odugba, PO Box 56001, Atlanta, GA 30343, United States. We will reply within one month (or the time your local law sets).
Changes to this policy
We will update this policy if the app or the way we handle information changes, and show the new effective date in the app. If a change is material, we will tell you in the app before it applies.
